Terms and Conditions
1. Lesson Packages and Billing
Lessons are billed in advance in bundles of ten lessons. An invoice for the upcoming bundle will be sent prior to its commencement. Payment for each upcoming 10 lesson package is due no later than two weeks prior to the start date of that package.
2. Payment Terms
Lessons will commence only after full payment for the lesson package has been received as per the invoice.
3. Late Payment Fee
A late payment fee of $20 will be applied to any invoice not paid within 14 days of the due date. This fee reflects additional administrative costs incurred due to late payments. Accounts unpaid for more than 30 days may be referred for further collection action and may result in suspension of lessons until the outstanding balance is cleared.
4. Lesson Booking and Reservation
Booking a teacher reserves a fixed lesson time exclusively for the student for the duration of the purchased lesson package.
5. Suspension for Non-Payment
If payment is not received, lessons will be suspended, and reserved lesson times may be forfeited after reasonable notification attempts.
6. Student Responsibilities
Students are responsible for bringing all required books and instruments to each lesson. Teachers cannot guarantee availability of spare books or instruments.
7. Make-Up Lessons
Make-up lessons for missed lessons must be completed within the validity period of the current lesson package. Missed make-up lessons without prior notice are forfeited and cannot be carried over to future packages.
8. Lesson Absences and Cancellation
Students must provide at least 24 hours' notice of cancellation for any scheduled lesson by contacting info.vivamusicacademy@gmail.com. Lessons cancelled with less than 24 hours' notice will be considered forfeited and will be deducted from the current lesson package. Exceptions may be considered for unforeseen medical or emergency situations at the Academy's discretion.
9. Non-Refundable Policy and Changes
Once a lesson package has commenced, it is non-refundable except where required by law (e.g., services not provided). Refunds or credits may be granted in cases of prolonged illness or exceptional hardship, at the sole discretion of Viva Music Academy. If you wish to make any changes to your lesson schedule or discontinue lessons, please provide a minimum of two (2) weeks' written notice prior to the start of the next lesson package. Notices received after this period may result in the full charge for the upcoming package.
10. Teacher Absence
If a teacher is unable to attend a lesson, the lesson may be rescheduled within the term or during upcoming holiday lessons. If rescheduling is not possible, the Academy will either provide a replacement teacher or credit the lesson to the student’s package.
11. Media Consent
The Academy regularly takes photographs and videos during lessons and performances for educational and promotional purposes. Our Annual concert includes professional photoshoots to celebrate student achievements.
If you do not wish for your child to be included in such media, please notify the Academy in writing at info.vivamusicacademy@gmail.com prior to the commencement of lessons.
12. Communication and Dispute Resolution
Students and parents/guardians must direct all administrative and payment inquiries to the Academy office. The Academy aims to resolve any disputes amicably and encourages communication at the earliest opportunity.
